Goldren Studio builds websites, patient-inquiry CRM systems and AI assistants for private clinics, doctors’ practices and med spas in Miami. The work targets the places where clinics quietly lose patients: a website that doesn’t earn trust, booking that takes too many steps, and calls nobody returns. Our reference is Organic Well, a functional and longevity medicine clinic in Coconut Grove, whose website, online store and CRM we designed and built.

Trust comes before the booking

Patients compare clinics on their phone, often in the evening, before they call anyone. They want to know what a treatment involves, who will see them, what the first visit looks like, whether you take their insurance or work on a self-pay basis, and where to park. A clinic website earns the booking by answering those questions plainly, in the order people ask them.

For Organic Well we built service pages, physician profiles and a consultation request, in English and Spanish, so every visitor finds a starting point that fits their question. The aim was to make the clinic easier to understand while keeping public information apart from private clinical work. For a med spa the same logic applies to treatments and results: before-and-after photos appear only with the patient’s written consent, and the copy promises only what the practice can stand behind.

Booking in as few steps as possible

Every page should lead to one clear next step: request a consultation, pick a time, call, or send a WhatsApp message. Forms ask only for what’s needed to get back to someone. If the clinic already uses a booking tool, a calendar or a phone system, we connect to it instead of replacing it, and we check what each tool allows before promising the connection.

Missed calls and after-hours messages

In many clinics, an after-hours call ends up as a voicemail, a sticky note, a WhatsApp group and a spreadsheet. A CRM replaces that chain with one workspace the front desk trusts: missed calls, new messages, open inquiries and today’s appointments side by side, each with an owner and a next step.

An AI assistant, sometimes called an AI receptionist, earns its place with defined tasks: answering when the clinic is closed, returning a missed call with a short message, collecting the reason for the visit and offering available times. It introduces itself as an assistant, stays inside the rules the clinic sets and hands the conversation to a person whenever the question is clinical, sensitive or unclear. Medical advice and diagnosis stay with the staff.

At Organic Well, calls, messages, leads and appointments share one workspace, and Vicky, the assistant the clinic named, helps with missed calls, after-hours messages, follow-up and booking, within the clinic’s rules.

Patients who speak more than one language

A Miami clinic can hear English, Spanish, Portuguese, Haitian Creole, Russian and Hebrew in the same week. The Organic Well site works in English and Spanish, each language on its own address, so search engines show people the right version. Medical wording needs the clinic’s review in every language, and an AI assistant is tested with real, unclear and incomplete questions in each language it will use.

Privacy, in plain words

A clinic system holds information people expect to stay private, so privacy shapes the design from day one. General website forms don’t ask for medical history. Access in the CRM is set by role, and sensitive fields are limited to the people who need them. Together we decide what may appear in notifications and what stays out of email and chat entirely.

When we show clinic work publicly, personal and medical details are hidden or replaced with demo data. The Organic Well CRM overview was made that way, and no calls, messages or bookings were made for it. We don’t certify compliance: for healthcare projects we plan the requirements with you and your compliance advisor from the start.

How a clinic project runs

We start by following one real inquiry from the first call to the booked visit, to see where it waits or gets lost. Then we build in steps: often the website, or the inquiry inbox with missed-call follow-up, comes first; appointments, reminders and reporting follow. After each step, the people at the front desk tell us what slowed them down. Often an existing CRM is the right choice, and we’ll say so. A custom CRM makes sense when your process doesn’t fit one, for example appointments handled mostly over WhatsApp or a front desk working in several languages, or when per-user pricing grows faster than your team.

Only what the clinic approves, such as hours, services, visit preparation and available times. It isn’t there to give medical advice: clinical questions go to your staff. When it can’t help, it says so, offers a person and passes on the details collected so far. We agree on these handoff rules before launch and review real conversations afterwards.

We don’t claim HIPAA compliance or any certification. Compliance depends on how a practice collects, stores and shares patient information, on its agreements with each vendor and on its own procedures, so it’s settled with your compliance advisor. Our part: medical details kept out of general forms, role-based access, notifications that don’t reveal sensitive details, hidden or demo data in anything shown publicly, and privacy requirements planned with you and your advisor from the start.

Usually, yes: website forms, the phone system, WhatsApp Business, email, the calendar or booking tool, and payments. Each connection depends on what the tool allows, so we confirm it before committing.

Yes. The questions are the same: will people trust you, can they book easily, and does every inquiry get an answer. Treatments, results and consent-based before-and-after photos simply take a bigger place on the site.

There’s no fixed price list. After a first conversation you receive a written proposal based on scope and integrations, before anything starts. An AI assistant has two parts: building and testing it once, and usage fees from the AI and phone providers that grow with the number of calls and messages. We estimate both.
